Project Coordinator

The Project Coordinator position provides support primarily to the Executive Director (ED) and the Board of the Institute for Creative Community Initiatives (ICCI) and other initiatives as needed. The Project Coordinator will interface with the ED and member of the board and will provide white glove customer service at all times. Attention to detail is very important. This position will report to the HCDI Chief Administrative Officer and consults with the board weekly.

Essential Functions

Board and Committee Support

  • Coordinates committee conference calls, including scheduling and producing and distributing minutes
  • Participates in all board conference calls and takes minutes
  • Writes minutes into final form immediately after calls
  • Maintain ED and Board calendar and schedule of events for ICCI

Office Support

  • General office duties
  • Updates SOP’s for tasks done regularly and creates SOP’s for new tasks
  • Coordinate with Program Coordinator for general office support
  • Develops, compiles and writes communications and promotional literature for distribution such ICCI newsletters, etc.
  • Draft written responses or replies by phone or e-mail when necessary. Respond to regularly occurring requests for information; Prepare monthly letters and correspondence to donors
  • Conduct general research as needed

Database Maintenance & Website

  • Maintain website, ensure site is updated and constantly refreshed
  • Maintain database of all Friends of ICCI
  • Maintain social media sites to promote ICCI
  • Create and maintain FAQs; document processes for all tasks
  • Track fundraising deliverables

Required Experience:

  • Bachelor’s degree required.
  • At least three years of demonstrated project administrative experience.
  • Excellent analytical, organizational, and time management skills.
  • Comfortable with technology and able to learn new processes quickly.
  • Proficient in Microsoft Office, especially Excel.
  • Excellent written and oral communication skills.
  • A “doer” with a keen sense of urgency, excellent follow-up, and attention to detail.
  • Works well under pressure and on tight deadlines while maintaining professional relationships with colleagues at all times.
  • Demonstrates an interest in ICCI’s mission

This is a part-time position.  The hourly rate is $16.00.
